Job Description

We are looking for a Site Administrator  to join our passionate team and help us shape the future of food and beverages. This position is a fixed-term role until end of December 2026 to replace an employee who temporarily takes on a new challenge. You will be based in Tallinn, Estonia and report to the Country Manager, Retail Baltics.   

Your role in the blend 

As Site Administrator, you secure smooth operation at workplace, manage office in a way that support office employees to focus on their work by efficient operation of the day-to-day administration of the company and provide an excellent service to the Baltic employees or visiting employees from other Paulig countries. 

In this role, you will: 

  • Keep the office in order and welcoming​ 
  • Order office supplies and product samples​ 
  • Exchange primary information with clients and consumers​ 
  • Support marketing campaigns​ 
  • Manage office access cards, parking and petrol and credit cards 
  • Process invoices  
  • Support local HR with benefits administration ​ 
  • Manage employee events 
  • Handle group bookings for business travels​ 

Your key ingredients

As a Site Administrator, you are the heart of the office and a key enabler of everyday success. Your work has a visible, immediate impact on how smoothly the site operates. You combine practical problem‑solving with service mindset, ensuring that people, spaces and processes come together seamlessly. 

To succeed in this role, you likely have:  

  • vocational education (secretary or office administration) or work experience in corresponding field​ 
  • ​Experience in office administration min 1 year  
  • MS Office proficient user​ 
  • ​Can do attitude, good social skills, accurate and correct in daily tasks, good prioritisation skills, friendly, optimistic, proactive​ 
  • ​Fluency in English and Estonian
