Your Role:
Answer phone calls and take notes and/or forward them to the appropriate office personnel
Open the office or stock/storage room doors
Receive daily mail providing the signature as proof of receipt
Receive deliveries of goods while checking and filing the delivery notes
Generate invoices using SCORO system to customers and clients as well as handling, printing
and filing the incoming invoices received either by e-mail or via mail box
Execute packaging, shipping and dispatching of the goods according to local or international
standards that are applicable in Republic of Estonia and EU while keeping the appropriate
records of shipments and their corresponding documents
Check and keep track of the purchase invoices and enter them in the bank in a timely fashion
Enter purchase invoices in SCORO and mark the payments according to the bank data
Check the bank payments periodically to ensure that payments are received according to the
dates mentioned on the invoices
If Invoice is not paid in a timely fashion, a follow up e-mail and phone call is to be placed
Prepare bank information to the accountant as applicable
Keep the records in the journal and the list of goods that are stored in the stock room
Prepare on a monthly basis stock review to the bookkeeper as requested and applicable
Prepare monthly reports at the end of each calendar month as per all sales invoices
Prepare monthly statistics reports on the arrival of the goods and submit on-line according to
the Statistics Department
Handling of other general administrative tasks may be required
Other tasks:
Maintain the office supplies such as printer cartridges (and the exchange), paper etc., and
make sure that other similar office supplies are always present
Maintain the conference room
Maintain the coffee area and coffee machine
Maintain coffee, tea or snack supplies
Inform company manager of employees’ birth days or other important calendar dates at least
2 weeks in advance
Maintain office plants by watering at least twice a week
Maintain the overall order in the office while suggesting improvements to the staff as applicable
Requirements
Highly-motivated person with positive attitude, and ambitions
Minimum secondary school education or similar. University degree is to be viewed as
advantage.
Minimum 1-2 years of experience at a similar position
Proficiency of MS Office programs: Word, Excel
Experience working with Outlook
Excellent communication skills and friendly attitude
Excellent and disciplined planning with great time management skills
Ability to work independently
Language skills: excellent Estonian, very good Russian and English knowledge is required
