Neffi helps subcontractors to plan and carry out Swedish construction projects from start to finish. Company setup, legal & tax-advice, cost analysis, help with unions, accounting, and finding useful suppliers & service providers.

Management Assistant.

Neffi OÜ is currently in an expansion phase. The number of clients and the amount of work they require from us are steadily increasing.

We are therefore looking for the right person to join the company as a Management Assistant.

The job consists of two fairly different parts.

The first part is everyday administrative and accounting work. These tasks are generally routine, and they need to be completed accurately and within set deadlines. They include, but are not limited to:

 

  • Handling incoming post.
  • Filling in and submitting applications to various governmental bodies, such as the Tax Agency and Business Registry, as well as unions and other organizations. Communication happens by email and phone.
  • Gathering information from clients needed for monthly accounting work, such as personnel information, timesheets, information for preparing agreements, etc.
  • Performing simpler accounting tasks, such as invoice entry and payroll preparation.
  • Sending reminders to clients who are late with either submitting necessary accounting material or paying their invoices. Communication happens by email and phone.

 

Some of this work will be repetitive and, frankly, sometimes boring. It still needs to be done accurately and on time.

The second part of the job is about improving the company.

You will be expected to identify areas where the company or its services could work better and, within the general goals of the company, take responsibility for developing those areas. This could include:

 

  • Updating and improving internal work processes and the filing system.
  • Working hands-on with SEO, website updates and marketing.
  • Suggesting new services, repackaging existing ones, and helping communicate changes to existing clients.
  • Finding practical ways to incorporate AI into everyday work.
  • Identifying other areas where the company could save time, improve quality, or offer better services.

The exact division between these two parts will vary, but roughly 50% of the job will consist of routine administrative/accounting work and 50% will involve improving and developing the business.

Core criteria

 

  • Swedish: C1 level or higher, written and spoken.
  • English: B2 level or higher.
  • Previous administrative work experience.
  • Comfortable working with deadlines.
  • Able to figure out solutions independently and learn quickly.
  • Organized, precise and dependable.

 

Bonus criteria

 

  • Fluency in Russian, Latvian, Lithuanian, Polish, Finnish, or other EU country languages.
  • Previous experience with Swedish accounting and payroll, preferably in the construction sector.
  • Previous experience dealing with Swedish authorities.
  • Previous experience dealing with Swedish trade unions.
  • Previous marketing experience, particularly SEO and social media such as LinkedIn.
  • Previous experience working in a small consultancy or professional-services business.
  • Experience with, and an interest in learning, using and integrating AI tools into existing work processes.

A large part of the job will be routine work with clear deadlines. The other part gives you considerable freedom to decide what you think the company should improve and what kind of projects you would like to work on.

You will therefore need to be comfortable both with doing the boring work properly and with taking initiative when there is no predefined solution.

Start

The position is expected to start on 1 November, but an earlier start can be arranged if the fit is good.

About the employer.

Neffi OÜ is an accounting and business administration company working primarily with European construction companies operating in Sweden.

Our work goes beyond bookkeeping. We also help clients with payroll, Swedish authorities, collective agreements, basic labour-law matters, cost and risk analysis, and the administrative work required to keep their Swedish operations running.

We are a small company, which means that the work is varied and there is not a large organizational structure between an idea and actually putting it into practice.
