SENIOR ADMINISTRATIVE SPECIALIST (TRAVEL)
This position supports the organisation’s business travel activities by ensuring compliant, cost‑effective and well‑coordinated travel arrangements while advising staff on travel, reimbursement and related financial matters.

TASKS:
• Advise staff on business travel planning, bookings and reimbursement processes (MIPS+);
• Provide expert guidance on travel options, disruptions and alternative arrangements;
• Ensure smooth day-to-day business travel operations by supporting staff throughout the travel lifecycle and following up on mission-related activities;
• Monitor business travel budgets, analyse expenditure, prepare reports and provide support in financial planning and cost control activities;
• Deliver expertise and administrative support related to travel management framework contracts, supplier coordination and travel service procurements (2026–2030);
• Contribute to the continuous improvement and optimisation of travel processes within the unit;
• Provide on-call support outside standard working hours when required and perform other duties necessary for the efficient functioning of the unit.

Requirements

REQUIREMENTS:
• Post-secondary education proven by a diploma;
• Minimum 4 years of professional experience in administration, tourism, finance, communications, or event management;
• Demonstrated experience in administrative work, with the ability to perform under pressure in a fast-paced environment;
• Ability to exercise strict professional discretion and work with highly confidential information;
• Strong personal integrity combined with a supportive, cooperative, and service oriented attitude;
• Excellent communication and interpersonal skills, multitasking ability;
• Ability to collaborate effectively in a multicultural environment;
• Very good command of English (written and spoken). Knowledge of Estonian is considered an asset.
