People Operations & Scheduling Specialist

We are looking for a People Operations & Scheduling Specialist to join our People team at Yolo! 

You'll take full ownership of creating monthly schedules for our employees, ensuring compliance with company and local labor laws. ? You will also be proactive in finding solutions to different problems/questions employees and managers might have around the scheduling. ? This role is also responsible for keeping our scheduling Policy up to date across the Group, proposing necessary changes, and implementing them.


✍️ Your daily tasks will be

    • Preparing and managing work schedules for our employees, ensuring compliance with company and local labor laws ?
    • Preparing employment contracts according to local laws and registering employees to relevant registries ?
    • Being a super-user for our HR platforms (Hibob and Wemply) and collaborating closely with the service providers to ensure that the platforms meet our needs ?
    • Being the main point of contact for our employees and providing support and assistance where needed ?
    • Making sure that our People data is up-to-date and preparing reports, such as time-offs, headcount, etc. ?
    • Confirming sick leave documentation and ensuring the internal and external data around it are aligned ?
    • Being the first point of contact for our healthcare providers and arranging employee health checks ?
    • Together with People Partners and the Travel team, making sure that our relocates have proper and valid documentation for working in Estonia, such as visas and residence permits ?
    • Helping to create and keep up-to-date our people policies and procedures, such as time-off policies, work & health safety, etc. ?
    • Supporting and leading other activities inside the People & Culture team ?

✔️ What we expect from you

    • Hands-on experience and knowledge of scheduling and/or data & datasets, including the local labor law requirements 
    • Knowledge and hands-on experience in local labor law, especially Estonian but any other, is beneficial. 
    • Experience working with different HR platforms and good knowledge of MS Office Suite, especially Excel 
    • Excellent in creating good relationships with key stakeholders, and excellent written and verbal communication skills in English and Estonian 
    • Being comfortable with multitasking and working in a fast-paced and quickly changing environment is important 
    • Proven track record in critical thinking and problem-solving 
    • Proactive approach and systematic mindset with attention to detail 
    • A passion for new trends in HR and the initiative to apply those in Yolo.
