Office & Team Coordinator

  • Travel & Logistics Coordination

    • Organize accommodation and flight bookings for team members, ensuring cost-efficiency and smooth arrangements

    • Handle last-minute changes, cancellations, and special requests related to business trips
    • Maintain up-to-date records of travel schedules and itineraries

      Documentation & Record Keeping

      • Prepare, organize, and maintain company documents, contracts, and reports with accuracy and confidentiality

      • Ensure proper filing systems (both digital and physical) for easy retrieval of information

      • Assist with proofreading, formatting, and preparing official correspondence

  • Administrative Support

    • Manage day-to-day office tasks, such as scheduling, correspondence, and filing

    • Support the sales team with data entry, follow-up tasks, and preparation of materials

Key Responsibilities

  • Language Skills

    • Strong proficiency in Estonian and English (both written and spoken) to communicate effectively with colleagues, partners, and clients.

    • Ability to draft professional correspondence and documentation in both languages.

  • Technical Skills

    • Confident user of Microsoft Office tools (Word, Excel, Outlook, PowerPoint).

    • Comfortable with digital tools and quick to learn new software solutions that support daily work.

  • Organizational & Administrative Skills

    • Proven ability to manage multiple tasks simultaneously and meet deadlines.

    • Strong attention to detail when handling documents, contracts, and records.

    • Experience with organizing travel arrangements, schedules, and logistics is an advantage.

  • Work Experience & Education

    • Minimum of 3–5 years of previous experience in administration, secretarial work, or a similar support role.

    • Professional education in business administration, office management, or related field is considered beneficial.

  • Personal Qualities

    • Proactive, reliable, and independent approach to work — able to take initiative and see tasks through to completion.

    • A positive attitude and genuine willingness to support the team, especially the sales department.

    • Excellent communication skills and a collaborative mindset, ensuring smooth cooperation with colleagues at different levels.
