Job Description

The Administrative Assistant, from now on referred to as AA, is expected to perform tasks primarily related to the cultural, educational, and commercial sectors of the embassy, ​​as well as media platforms. In general, they are expected to manage social media, the institutional website and emails, as well as support the organization of meetings and events.

  • The AA may also contribute to other sections, ​​such as the Science, Technology & Innovation, consular services, accounting, and administration.
  • Additionally, they may provide general office support, performing clerical tasks, drafting correspondence and/or documents in Estonian and English (occasionally in Portuguese), organizing files, contacting suppliers and service providers (both at the Embassy and the Official Residence), greeting visitors, managing schedules and timetables.
  • During the preparation of events, the AA is expected to provide support in transportation, installation and dismantling of exhibitions, fairs, and official commemorations such as the National Day, including in other cities in Estonia, outside Tallinn.
  • The AA may also be assigned other tasks different from the above described, provided both employer and employee agree beforehand.

Requirements

Candidates must legally reside in Estonia and have the right to hold paid employment in Estonia. They must also present a diploma/certificate of at least a completed secondary education, be over 18 years of age, and possess oral and written skills in English and Estonian (Intermediate/Advanced). Knowledge of Portuguese and/or Spanish is desirable. Possessing a driver's license is also desirable.

 To register for this selection process, interested parties must submit the following documents:

  • Completed, dated and signed application form.

The forms can be printed from the Embassy's website (https://www.gov.br/mre/pt-br/embaixada-talin);

  • Curriculum vitae, with a recent photo and description of the activities performed, as well as any letters of reference and copies of diplomas that may be considered relevant to the position (high school and/or higher education);
  • Letter of motivation and, preferably, at least one letter of recommendation;
  • Photocopy of an ID document proving that the person is at least 18 years old;
  •  For candidates who are citizens of non-EU member states, proof of regular residence and legal authorization to carry out paid activities in Estonia;
  • Criminal record certificate or equivalent document;
  • In the case of Brazilian citizens, proof of electoral clearance;
  • In the case of a Brazilian male, a copy of the military certificate.

 At the end of the selection process, the approved candidate must additionally submit the following documents, under penalty of exclusion from the selection process:

  • Certificate of physical and mental fitness;
  • Photocopy of a school certificate proving at least completion of high school or equivalent;
  • If Brazilian, a handwritten and signed declaration stating that they do not hold any public office, employment, or any other public function, whether active or inactive, and do not receive any kind of income from the Brazilian Government.
