Office manager

PrismFP Analytics is a young and innovative FinTech firm that has spun out of an investment brokerage based in central London and New York. We apply deep practitioner knowledge in financial markets, statistical and quantitative techniques, and cloud and big data technologies to build disruptive analytics products for some of the biggest names in finance.  

We are looking for a self-starter and well-rounded Office & Business Manager to join our growing and truly international team in Tallinn. 

What you’ll do 

• Manage the relationships with office vendors and service providers (cleaning, office internet, workplace IT services, building management etc.) 
• Facilitate resolving staff IT issues with relevant service providers 
• Manage the office inventory and track & handle requests for new devices or supplies 
• Maintain the condition of the office and arrange for necessary repairs and cleaning 
• Assist Group HR with the recruitment of new staff, onboarding of new hires, off boarding of leavers, maintaining office policies, training, and inductions 
• Provide general support to visitors 
• Manage weekly grocery orders for the office kitchen 
• Organise regular smaller social events for the teams 
• Lead the organising of annual summer days and Christmas parties 
• Build a great culture for others to join

• Proficient in English and Estonian languages 
• Excellent interpersonal, oral and written communication skills 
• Proficient in Microsoft Office tools 
• Flexibility and adaptability to changing workloads 
• Able to organise and prioritise work and time effectively 
• Have great attention to detail and problem-solving skills 
• A creative mind with an ability to suggest improvements
