Workplace Experience Team Lead

This is a temporary position on an 18-month contract based in Tallinn, Estonia.

• Lead, mentor and inspire a team of 5 across four Estonian offices, fostering collaboration, growth and operational excellence while ensuring smooth day-to-day operations.
• Own the workplace experience across Tallinn and Tartu, ensuring consistency, high standards and continuous improvements to create welcoming, functional and efficient workspaces.
• Drive office events and culture initiatives, guiding your team to deliver experiences that bring people together.
• Manage budgets, vendor relationships and contracts, ensuring cost-effective operations and strong collaboration with Finance, Legal, IT and Real Estate teams.
• Act as a key point of contact for employees, visitors, suppliers and stakeholders, delivering clear communication and alignment across local and global teams.
• Partner with People and IT teams to support onboarding, offboarding, compliance, health and safety requirements, risk assessments and asset management.

• Proven experience in workplace experience, office management or a similar field, including leading and developing people.
• Communicates clearly and effectively with a wide range of stakeholders; fluent in Estonian and English (additional languages a plus).
• Highly organised, able to prioritise and manage multiple projects in a fast-paced environment.
• Strong project management, event planning and problem-solving skills with excellent attention to detail.
• Comfortable operating across multiple locations — delegates effectively, trusts the team, and steps in when needed.
