Job Description

As a Travel and Hospitality Coordinator, you'll manage the group's corporate travel bookings, policies, and budget to ensure efficient and risk-free corporate travels. You know how to provide an excellent customer experience: you'll take good care of company apartments to ensure that all visitors have a comfortable stay during their time here. The Travel & Hospitality Coordinator ensures that all procedures, guidelines, and agreements are adhered to, whilst also actively contributing to the delivery of the Yolo Group goals.

Your daily tasks will be:

  • Booking all travel-related arrangements for our corporate traveler and VIP clients;
  • Managing travel changes, cancellations, and resolving travel-related issues;
  • Provide all travelers with relevant travel information and/or government entry requirements in a timely manner;
  • Maintaining effective communication with both internal and external clients;
  • Overseeing all company apartments and taking full ownership they adhere to internal guidelines during check-in and check-out for each stay;
  • According to the guidelines apartment preparation for the relocating employees;
  • Meeting and greeting our relocating employees at the airport/company apartment/hotel per rotated schedule;
  • Handling travel, accommodation, and logistic arrangements for partners who come to Tallinn and our HQ;
  • Managing group bookings for conferences, trainings, and other business travel-related events, including catering, rooming lists, transportation, and restaurant reservations;
  • Create comprehensive event itineraries for large group conferences/events that can be distributed to attendees;
  • Assisting employees regarding their travels and Travel App, and guiding them through the onboarding process to ensure their travel planning is smooth and they have the information regarding different flight/accommodation options etc;
  • Collaborating with the finance team regarding reimbursements and invoicing and making sure that all reports/receipts are presented on the agreed time.

Requirements

What we expect from you:

  • Strong organisational, time management & prioritisation skills;
  • Proactive, self-driven, and motivated by innovative ideas and a commitment to actualise them;
  • Excellent interpersonal, verbal, and written communication skills and a strong level of English;
  • Keen attention to detail, adept at thriving in high-pressure situations and meeting tight deadlines;
  • Skilled at efficiently managing multiple tasks in a fast-paced work environment;
  • Strong teamwork and collaboration skills and willingness to deliver the best experience;
  • Familiarity with employment law or relocation process is beneficial;
  • Proficiency in JIRA and Excel, with knowledge of GDS being a bonus.

*Travel and Hospitality Coordinator often works irregular hours, including evenings and weekends, to oversee events and travels as they happen. All overtime hours will be compensated with time off.
