Job Description

The J. Molner Company office in Tallinn is looking for a

 

Office Manager

 

Essential Responsibilities:

  • Greeting visitors, answering incoming phone calls and managing general email
  • Implementing and maintaining procedures
  • Purchasing office supplies and equipment
  • Communication with suppliers (e.g., cleaning company, utility services and Tehnopol)
  • Organizing company events
  • Acting as a Responsible Person in a public company
  • Preparing and recording business trip assignments
  • Booking transport and accommodation for business trips
  • Reviewing and recording expense reports and business travel reports
  • Document scanning and archiving
  • Processing invoices in the accounting program
  • Reviewing monthly timetables
  • Filing vacation schedule
  • Reporting sick leaves in the database (eesti.ee)
  • Collecting new employee data and managing HR folder (e.g. employee data form, working contracts and amendments)
  • Preparing working contracts and amendments
  • Ordering work equipment for new employees
  • Organizing introduction programs for new employees
  • Managing occupational health checks in Qvalitas.ee
  • Managing Stebby.ee, Europark.ee and Bolt.ee accounts
  • Managing FedEx and DHL accounts, organizing transportation

Requirements

Qualifications:

  • Education as a business management specialist or similar (secretary, personnel specialist etc)
  • At least 2 years of experience in office management
  • Excellent computer skills, including a high degree of proficiency in Microsoft Word, Excel, Outlook, and PowerPoint
  • Collaborative working style. Professional, ready to cooperate and willing to support team members and company priorities.
  • Good written and oral communication in Estonian and English.
