We are looking for an Office Manager who will organize our Tallinn office.

Your Role

Office Manager will be coordinating the successful running of the office whilst providing administrative support to the Management Team.
•Supervises and coordinates overall administrative activities for the site.
•Supervises the maintenance and alteration of office areas and equipment, as well as layout, arrangement and housekeeping of office facilities.
•Arranges for the purchase of office supplies and furniture, office equipment, etc., for the entire staff in conjunction with company purchasing, facilities policies and budgetary restrictions.
•Supervises the maintenance of office equipment, including copier, fax machine, etc.
•Responsible for the facilities day-to-day operations (such as distributing building access keys and back-up to security access cards, etc.) Including managing site disruptions whether due to weather or mechanical issues.
•Manages the reception area to ensure effective telephone and mail communications both internally and externally to maintain professional image.
•Participates as needed in special department projects and report creation.
•Update and maintain site emergency response program and/or facility operations manual.
•Acts as point of contact for property management and others in case of emergency.
•Responsible for the management of office suite and parking access card.
•Takes part in company events organization.

And occasionally may:
•Provide administrative support to company executives to include making travel arrangements and expense reports, scheduling appointments and meetings, taking and relaying telephone messages, maintaining correspondence and data files, filing, copying, and distributing materials as appropriate and assisting with completion of specially assigned projects, which may include offsite meetings.
•Assist in the preparation of Board Meeting binders for quarterly meetings.
•Prepare expense reports and reconciliation reports for Executives.

Requirements

•Good command of Estonian, Russian and English both written and spoken (a must)
•At least 3 years of previous experience in office management or administrative coordination
•Experience in a fast-paced, international environment
•Working knowledge of Microsoft suite of products
•Familiarity with standard administrative tasks like postage, couriers, copying, faxing, binding
•Excellent interpersonal and time management skills
•Initiative and ability to ‘make things happen’
•Organizational and relationship-building skills
